Client Relations Coordinator

Description:

Associate must be a creative professional that is genuinely interested in making other people feel special and cared for.   This position will also include answering phone calls, coordinating client events, delivering concierge services to top clients, creating and editing client newsletters, maintaining the company’s social media presence, networking with our current and prospective clients, and other duties as assigned.  Assisting the Financial Advisor Assistants with administrative duties will also be expected.

Responsibilities and Activities:

  • Coordinates all activities related to client events

    • Creates invitations and ensures compliance approval

    • Books facility and coordinates refreshments

    • Handles reservations

    • Create nametags

    • Arranges for multi-media needs

    • Coordinate speakers if appropriate

    • Confirm client event invites by 10:00 am prior to the event date

    • Ensures completion of all activities on the Client Event Checklist

    • Responsible for overseeing and implementing marketing calendar

  • Coordinates and mail client newsletters and/or quarterly market outlook

     

    • Handles production and mailings

    • Coordinates articles and other content

    • Manages mailing lists

    • Process envelopes for monthly newsletters and other event invitations

  • Sends out Welcome Kits to prospective clients
  • Maintains Advisor Assistant computer program

    • Entering new client and prospect information

  • Manages website and social media presence

    • Updates information as needed

    • Ensures fresh content

  • Manages other marketing programs including implementation of Reis Annual Marketing Calendar

    • Client Prospecting Program including any follow-up

    • Client Advocate Program including any follow-up

    • Implementation of the APFA Program, including attending the three planning meetings a year.

    • Update radio and print ads as needed

  • Prepares initial drafts of recommendation letters

  • Respond to incoming phone calls

    • Backup Director of First Impressions

    • Filter all calls

    • Document client contact by sending an email to office associates

  • Create UPS labels for overnight packages for assistants

  • Assisting the Director of First Impressions as directed by the Operations Director

  • Develop and maintain written procedures of all activities

Expectations:

  • Complete top six list daily and prioritize activities for next day or use the contact management program

  • Communicate delegated responsibilities when planning to be out of the office

  • Report to the Operations Director
