Director of First impressions

Description:

The Director of First Impressions plays an important role in setting the tone for the organization.  As the first person and last person clients see when they are in the office, the Director of First Impressions is instrumental in making sure clients have a positive experience.  The individual would be responsible for delivering extraordinary client service by communicating with clients via telephone and face-to-face interaction, creating and editing client newsletters, maintaining the company’s social media presence, networking with our current and prospective clients, and other duties as assigned.  Event coordination for client education, appreciation, and other special occasions is also an integral part of this role.  Providing administrative support to Financial Advisors and office personnel would be expected. 

Responsibilities and Activities:

  • Greets clients and makes them feel comfortable

    • Ensure conference rooms and lobby area have professional appearance

    • Snack and beverage service for meetings with the Advisor
  • Responds to incoming phone calls

    • First point of contact for phone calls

    • Filter all calls
  • Maintains day to day appointment calendar for all Advisors

    • Schedule, coordinates, and confirms all meetings with clients, attorneys and CPA’s

    • Update associates within organization of meeting changes that occur
  • Provides administrative duties for all Advisors

    • Process dictation notes from meetings

    • File, scan, and copy documents as needed
  • Coordinate monthly client birthday program:

    • Mail birthday lunch invitations

    • Mail monthly birthday cards

    • Attend birthday lunches when needed

  • Assembles contracts for all life insurance and annuities for distribution

  • Coordinates and manages monthly client birthday program

  • Obtains correct contact information for new clients, prospects, and referrals

  • Coordinates all activities related to client events
    • Invitations, booking the facility, confirming speakers

  • Manages the Annual Event Calendar

  • Coordinates and mails client newsletters and/or quarterly market outlook flyer

  • Monitors website and social media presence and ensures fresh content

  • Sends flowers and greeting cards as coordinated with the Business Manager

  • Sends out Reis Financial Welcome Kits to prospective clients

  • Develops and maintains written procedures for all activities

Expectations:

  • Completes top six lists daily and prioritizes activities for next day or use the contact management program

  • Communicates delegated responsibilities when planning to be out of the office

  • Reports to the Operations Director
